Privacy Policy

How we handle your information—and the choices available to you.

LANEARC LOGISTICS LLC ("LANEARC," "we," "us," or "our") respects the privacy of the people who contact us and use our website. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information in connection with our website and related freight, business, and initial recruiting inquiries. It also explains how to contact us about your information.

1. Scope of this policy

This policy applies to our public website at lanearc.org and communications associated with website inquiries, including contact forms, quote and service requests, driver-interest forms, and related email or telephone follow-up.

LANEARC is registered in Ohio and is being established as an interstate for-hire motor carrier. We do not currently operate as a freight broker or independent dispatch service. Our current services and recruiting activities are directed to people and businesses in the United States.

Separate notices may apply to formal driver applications, background screening, employment, contractor onboarding, transportation operations, or third-party services. Where a separate notice applies, it will explain the relevant processing in more detail. Nothing in this policy limits a right or protection provided by applicable law.

2. Information we collect and its sources

Information you provide. Depending on your inquiry, we collect:

  • Contact information, such as your name, email address, telephone number, city, and state.
  • Business information, such as your company name, role, and business contact details.
  • Inquiry and shipment information, such as your selected service, pickup or delivery information you choose to provide, cargo requirements, scheduling needs, and correspondence.
  • Initial recruiting information, such as company-driver or owner-operator interest, CDL Class A status, tractor-trailer experience, and truck year, make, and model if provided.
  • Comments, questions, and other information you choose to include in a message.

Required fields are identified on our forms. Optional fields, including Comment, may be left blank. Without necessary contact information, we may be unable to respond.

Information generated by website use. Our hosting and security systems may process technical information such as IP address, browser and device characteristics, requested pages, referring page information, timestamps, and delivery, error, or security logs. This supports website operation, troubleshooting, and protection against abuse. Our anti-abuse store keeps keyed hashes representing submitted email addresses, inquiry contents, and submission identifiers, together with timestamps and delivery states. It does not store the raw form fields or IP addresses. These identifiers are pseudonymous, not necessarily anonymous. They support a 24-hour duplicate and rate-limit window; expired entries are removed when a later valid submission reaches the security store. Provider backups and logs may have separate retention. Incorrectly blocked visitors can contact us by phone or email.

Optional analytics; advertising remains off. Google Analytics 4 can measure visits, traffic sources, devices, approximate locations, and page activity only when configured and you allow analytics. Measurement involves cookie identifiers and technical network/device information, including information Google receives as part of a request. Section 5 explains the choices, storage and safeguards. Our integration excludes names, email addresses, phone numbers, Comment contents, and other inquiry fields from its events. Google Ads and other advertising tracking remain disabled and would require a separate review and choice before activation.

Information from others. We may receive information from someone acting on your behalf, such as an employer, shipper, authorized contact, or business representative, and from providers that deliver or support your inquiry. If you provide another person's information, provide only what is necessary and ensure you are authorized to do so.

Our public forms do not request Social Security numbers, full driver's-license numbers, payment-card details, bank-account information, medical records, or identity-document uploads. Please do not include this information in the Comment field or ordinary website inquiries. If a later process requires sensitive documents, we will explain the appropriate submission method.

3. How we use information

We use information for the purposes relevant to your interaction with us:

  • Responding to questions and discussing requested services or opportunities.
  • Reviewing freight requirements, preparing quotes, and coordinating requested transportation or logistics services.
  • Reviewing initial driver or owner-operator interest and arranging recruiting follow-up.
  • Communicating about an inquiry, proposed engagement, or existing business relationship.
  • Operating, maintaining, troubleshooting, and securing our website and communications.
  • Preventing spam, fraud, misuse, and unauthorized access.
  • Maintaining necessary business records, meeting legal obligations, and addressing claims or disputes.
  • If introduced, understanding website usage and measuring advertising performance through the optional tools described in Section 5, subject to applicable choices.
  • If you separately subscribe, sending LANEARC marketing communications as described in Section 7.
  • Carrying out another purpose explained when information is collected, with additional notice or consent where required.

Submitting an inquiry does not automatically enroll you in promotional email or text-message campaigns.

We do not currently use AI or automated decision-making systems to score or reject applicants, determine compensation, approve customers, set freight rates, or make other legally significant decisions. Authorized personnel make these decisions. Website validation and abuse-prevention checks may reject invalid or abusive submissions; they do not evaluate a person's employment qualifications.

4. When we disclose information

Company access. Access to the Info@lanearc.org inquiry inbox is limited to the company manager and company recruiter. We do not distribute initial website inquiries to unrelated motor carriers and do not sell inquiry information.

Service providers. Google Workspace provides our business email. Hosting.com hosts our website. Its processing locations, logs, backups, and retention settings remain subject to verification. Squarespace is our domain registrar, not our website host. Hosting.com’s email service delivers website-form notifications to our Google Workspace inbox. Providers may process information needed to deliver, secure, and maintain these services.

Planned inquiry log. Google Sheets is planned as a restricted review log for freight and service inquiries, general-contact inquiries, and initial recruiting inquiries. Automatic Google Sheets logging is not connected. Separate website security checks help prevent repeated submissions; the security store is not a Google Sheet or an inquiry review log. Under the approved access rules, the company manager, operations lead, and one designated administrative backup may access the log. Other personnel may receive limited access only when necessary for assigned duties; edit permissions must be more restricted than view permissions. Before inquiry records are entered, access permissions must be configured and the log included in the monthly manual retention-review procedure.

Form security provider. When enabled on our forms, Cloudflare Turnstile helps distinguish human visitors from automated bots. Cloudflare processes technical signals such as IP address, browser information, and the website origin to provide and improve its security service. Our server sends a verification token to Cloudflare, not the name, email address, or Comment entered in the form. See [Cloudflare’s Turnstile Privacy Addendum](https://www.cloudflare.com/turnstile-privacy-policy/). This security check is separate from optional Analytics and advertising.

Website backups. Google Drive is designated for private website-source backups. Those backups are not an inquiry database and must exclude submitted inquiry records, passwords, and private keys.

Future business systems. We do not currently use Salesforce or another CRM. A CRM, transportation-management, dispatch, recruiting, or other business platform may be introduced later, but no provider has been finalized. We will review its purpose, access, retention, contractual protections, and privacy disclosures before it receives personal information.

Later transportation or application records. After an inquiry proceeds to a shipment or formal application, relevant information may be provided only to parties reasonably necessary for that process. Depending on the circumstances, these may include authorized operations and dispatch personnel; the assigned driver or owner-operator; customers, shippers, receivers, and warehouses; insurers and claims administrators; and authorized qualification, driving-record, background-screening, drug-and-alcohol testing, and occupational-health providers. Required notices and authorizations must be in place before screening or sensitive-record collection. A website inquiry alone does not authorize those later activities.

Legal, safety, and professional purposes. We may disclose information to FMCSA, DOT, and other authorities when required, or when otherwise permitted by law for valid legal process, safety, fraud prevention, security, or establishing or defending legal rights. Accountants, attorneys, IT providers, and other contracted advisers may receive information needed for legitimate business purposes, subject to appropriate protections.

Business transactions. Relevant information may be disclosed in connection with a proposed or completed merger, financing, reorganization, asset transfer, or similar transaction, subject to appropriate protections and applicable notice or consent requirements.

Your direction and optional tools. We may disclose information at your direction or with required authorization. Optional Analytics is subject to the configuration and choices described in Section 5. Advertising and remarketing remain disabled; future provider disclosures must meet that section. These provisions do not authorize unrestricted disclosure of driver, medical, or other specially protected records.

5. Sale, advertising, cookies, and browser signals

Essential functions and your choices. Essential technical processes deliver pages, process forms, and protect the website. These may include server logs and essential cookies or similar storage. You can use our pages and inquiry forms without accepting optional analytics. The cookie panel offers equally accessible Accept optional and Decline optional actions, an analytics preference, and a separate advertising status. Use Cookie preferences in any page footer to change or withdraw your choice. Scrolling, continuing to browse, or submitting an inquiry is not consent.

Remembering your choice. We store only your choices, the notice version, and a timestamp in this browser's local storage under lanearc.cookie-preferences. The choice is treated as expired after 180 days; older stored data is ignored rather than used as consent. This preference is not an advertising identifier and is not sent to our inquiry inbox. If your browser prevents storage, the choice applies only to the current visit. Clearing browser storage, using another browser or device, or a material change to tools or purposes may require another choice.

Optional Google Analytics. LANEARC has selected Google Analytics 4 to understand visitor counts, traffic sources, approximate geographic areas, devices, and page activity. It is off unless the service has been configured and you affirmatively allow analytics. Our basic-consent implementation does not load the Google measurement tag or send analytics requests before that choice. When permitted, Google receives page and technical information such as cookie identifiers, device/browser information, and network information. Reports do not identify anonymous visitors by name or email, but the information is not necessarily anonymous under privacy law. Our integration does not send inquiry fields, contact details, submission identifiers, or URL query strings and fragments. Google also processes session and engagement information; this is not a promise of pageview-only collection. See [Google's partner-site explanation](https://policies.google.com/technologies/partner-sites).

Analytics storage and withdrawal. When analytics is permitted, first-party _ga and stream-specific _ga_ cookies distinguish visits. Our integration limits their configured lifetime to the remaining consent period, up to 180 days, without refreshing the expiry on every page load. Browser-cookie lifetime is different from retention of data already sent to Google. The Google property retention and data-sharing settings must be verified before activation. Declining analytics stops further collection by our integration and removes its accessible first-party Analytics cookies on this domain; it cannot recall requests already sent or automatically delete Google's previously collected data. Contact us about those records using Section 14.

Advertising remains off. Google Ads tags, remarketing, Google Signals, advertising personalization, customer-list uploads, enhanced conversions, and session-replay tools are not activated by this website integration. Accepting analytics is not permission for later advertising. Advertising consent stays denied, including when your browser sends Global Privacy Control. We may consider advertising later, but will first review the actual data flows, settings, recipients, retention, applicable opt-outs, and separate consent choices, update the notice, and request a new choice where required.

Sale and advertising sharing. We do not sell website inquiry records or mailing lists. Sending visitor information to an advertising platform may be treated as a sale or sharing under applicable privacy law even without payment. Future advertising must respect LANEARC's restriction on selling personal information or sharing it for cross-context behavioral advertising; no unconditional promise that all Google processing falls outside these definitions is made.

You can also manage cookies and browser storage through your browser settings. Recognized opt-out signals, including Global Privacy Control, do not enable optional processing; our advertising setting remains denied. Legacy browser "Do Not Track" settings do not change essential technical processing. Browser controls that block essential technologies may affect website functionality.

6. Driver and owner-operator inquiries

The public Careers form collects initial interest in upcoming company-driver and owner-operator opportunities. It is not a complete driver application, and submitting it does not authorize background screening or other later qualification activities.

Complete applications and sensitive documents will not be collected through ordinary public contact or recruiting-interest forms. The secure application and screening platforms have not yet been selected. Before accepting full applications, LANEARC will select appropriate providers and provide or update the relevant notices and authorizations.

A later application or onboarding process may require driving and employment history, credential and motor-vehicle-record checks, PSP or FMCSA Clearinghouse review, medical qualification, drug-and-alcohol compliance information, vehicle details, or insurance records, as appropriate to the role and applicable law. These records require their own secure collection, access, use, and retention arrangements. Do not send them through the Comment field.

Applicable driver investigation and screening records are subject to restricted access and permitted-use limitations. This website policy does not replace those requirements or the rights provided by separate notices. Qualification and engagement decisions are made by authorized personnel, not by automatic scoring or rejection of the initial-interest form.

7. Communications and your choices

When you request a response, we may contact you through the contact information you provide about that inquiry. You may tell us your preferred contact method or ask us to stop optional follow-up by emailing Info@lanearc.org or calling 347-818-8574.

Marketing is not active at launch. LANEARC does not currently maintain a marketing contact list. Marketing emails will not begin at initial launch, and no email-marketing provider has been selected. The approved process requires a separate, voluntary subscription with a clear explanation of the communications offered. The website does not currently enroll people in that list. Sending a freight or recruiting inquiry will not automatically subscribe you, and marketing permission will not be a condition of receiving a response.

Before email campaigns begin, a working unsubscribe process must be established. Under the approved process, promotional emails will include an unsubscribe option, and requests to stop those emails will be honored within 10 business days, or sooner where required. You may also contact Info@lanearc.org to opt out. A minimal suppression record may be retained to prevent further unwanted marketing.

At initial launch, LANEARC will not record telephone calls, use call-tracking numbers, operate live chat, or send automated or promotional text messages. If these services are introduced later, the necessary notices, permissions, and opt-out procedures must be implemented first.

We may still send communications necessary for an active transaction, legal obligation, security issue, or request you have made. A website inquiry is not blanket permission for unrelated marketing or automated promotional calls or texts. Any such program requires its own applicable notice and permission process.

8. Retention and deletion

Retention schedule and manual review. Our documented procedure provides for monthly manual review using the following defaults for ordinary website inquiries. Automatic deletion of inbox inquiries is not configured in Google Workspace or other business systems.

  • Routine contact, quote, and service inquiries that do not become an ongoing engagement: 12 months after receipt or the last substantive interaction, whichever is later.
  • Initial recruiting inquiries: 24 months after the latest relevant record creation, substantive recruiting interaction, or hiring decision, whichever is later.
  • Minimal privacy-request and action logs: 24 months after request closure, subject to a continuing legal duty or hold. Unnecessary identity-verification evidence is removed when no longer needed.
  • Future marketing lists: remove a contact from active marketing after withdrawal or 24 months without an affirmative subscription renewal or substantive interaction. Automated campaign sends alone will not restart that period. Keep only the information needed to record consent, honor suppression, or meet an applicable legal obligation.

These defaults do not override legal, regulatory, employment, transportation, contractual, accounting, insurance, or dispute-related recordkeeping requirements. Records needed for an active engagement, complaint, investigation, or legal hold must be preserved for the applicable period. A document may be an employment record even if it originated in an initial-interest form. Formal driver qualification, screening, employment, and shipment records require their own applicable retention schedules.

The company manager is accountable for monthly reviews of expired records. The operations lead may coordinate the review, supported by a designated administrative backup and authorized staff as needed, within the access limits described in Section 4. The review must cover inbox and sent messages, attachments, exports, and any future Google Sheets or CRM copies. When no continuing need or preservation requirement applies, the records will be deleted, securely disposed of, or de-identified as appropriate.

Provider logs, backups, and future analytics records have separate retention and deletion controls that remain to be verified for the selected services. This policy does not promise that every provider or backup copy disappears on the same date. Applicable retention requirements and legal holds can delay deletion.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or loss. The inquiry inbox and planned inquiry log have the distinct access rules described in Section 4. Provider access is governed separately by the services and applicable terms described in Section 4. Our launch requirements limit inquiry storage to authorized Google Workspace accounts, the approved Google Sheet once connected, and approved website-delivery systems. Staff must not routinely store inquiry records in personal email, on personal devices, in messaging apps, or in unapproved local or shared folders. Any necessary temporary download must be protected and deleted when no longer needed, subject to preservation requirements.

Our documented manual procedure governs inquiry storage, retention, and privacy requests. Provider and account security settings remain subject to verification; documenting a procedure does not establish that those settings have been applied.

No website, network, email system, or storage method can be guaranteed completely secure. Please avoid sending sensitive documents through public forms or ordinary email unless we have specifically instructed you to use an appropriate method. If you believe information sent to us has been compromised, contact us promptly using the details below.

This security statement does not waive any responsibility or remedy imposed by applicable law.

10. Privacy requests and applicable rights

You may contact us to ask about your information, request a correction, or request deletion. Depending on your residence, the information involved, and whether a law applies to LANEARC, you may also have rights to access information, obtain a portable copy, withdraw consent, opt out of certain processing, limit certain uses of sensitive information, or appeal a decision about your request.

To submit a request, email Info@lanearc.org with the subject "Privacy Request," call 347-818-8574, or write to the address in Section 14. A subject line is helpful but not required. Describe your request and provide a way for us to respond. You do not need to create an account.

Privacy request responsibility. The company manager is accountable for privacy requests through the contact details above. The operations lead may coordinate handling, with a designated administrative backup for absence coverage and access limited to what the task requires. Our manual privacy-request procedure sets out the steps for documenting, reviewing, and responding to requests, with legal or technical assistance when necessary.

For requests that require identity verification, we may ask for limited information reasonably needed to confirm your identity or authority. We do not require identity verification for an opt-out where the law prohibits it. Please do not send a Social Security number or identity-document copy with your initial request.

Where authorized agents are permitted, an agent may submit a request on your behalf, subject to reasonable proof of authority and any lawful verification requirements. We respond within applicable legal deadlines and explain any permitted extension or denial. Where an appeal right applies, you may appeal by contacting us with the subject "Privacy Appeal." You may also contact the relevant privacy regulator or state attorney general.

Rights can be subject to lawful exceptions, including mandatory record retention, security needs, legal claims, and information concerning other individuals. We will not unlawfully discriminate or retaliate against you for exercising an applicable privacy right.

11. Children

Our website and services are intended for business contacts and adults seeking freight services or work opportunities. They are not directed to children under 13, and we do not knowingly collect personal information online from children under 13. If you believe a child has provided information, contact us so we can investigate and take appropriate action, including deletion where required.

12. External services and international access

Links to maps, social platforms, or other external websites take you to services operated by other organizations. Their privacy policies apply to information they collect. A link does not mean LANEARC controls those practices.

LANEARC serves and recruits within the United States and does not actively offer services or recruiting opportunities in other countries. Information is processed in the United States and may be processed in other locations used by our service providers, depending on the services involved. Applicable privacy protections can differ by location. Where a law requires safeguards for a transfer, we use the safeguards required for that transfer. Accessing the website does not itself provide blanket consent for otherwise unlawful transfers.

13. Changes to this policy

We may update this policy to reflect changes in our practices, services, or legal requirements. The current version will be posted on this page. You may contact us for its effective and revision dates.

For material changes, we will provide any additional notice and obtain any consent required by law. We will not use a policy update alone to retroactively authorize materially different uses of previously collected information contrary to earlier commitments or applicable law.
